Macro assists owners associations to maintain the quality and value of their property throughout its life. Our services support owners across the administrative, financial and technical realms. Taken together, they ensure that any association’s duties are performed and any discretionary powers are exercised in accordance with the regulations concerning Jointly Owned Properties, the owner’s constitution, associated by-laws and any applicable resolutions adopted in the General Assembly meetings.

Administrative services

  1. Prepare and issue notices for annual general assembly and extraordinary assembly meetings
  2. Assist with preparation of agenda, voting papers and other forms required during general assembly
  3. Distribute minutes of the annual general assembly
  4. Prepare and issue notices of owners association board meetings
  5. Prepare and issue notices to owners regarding compliance with owner’s constitution
  6. Attend to the instructions of the owners association board
  7. Maintain records for owners association as required under relevant local Jointly Owned Properties law
  8. Maintain records of notices served, minutes of meeting, owners constitution, by-laws and other applicable resolutions
  9. 24/7 helpdesk services for all reactive needs and emergency calls.
  10. Refer all requisitions, applications, correspondence, inquiries, complaints and requests for information to the owners association board for its consideration and action
  11. Follow established and agreed procedures for obtaining authority and instructions from the board and promptly comply with instructions received from the board
  12. Update all relevant information onto online community web portal for online access to owners and residents

Financial services

  1. Assist owners association board with preparation of draft budgets for general and reserve funds
  2. Prepare annual statements of accounts in respect of each financial year
  3. Facilitate receipt and payment of service charges with respect to each owner's entitlement
  4. Facilitate payment of insurance premiums and any other financial obligations of the owners association
  5. Management of accounts payable and receivables of all income and expenses against general and reserve funds

Technical services

  1. Prepare request for proposal for tendering of supply agreements with service providers for facilities maintenance services and insurance protection
  2. Assist with evaluation of supply agreements between owners association and service providers
  3. Supervise and monitor service provider performance against key performance indicators and contractual obligations
  4. Managing an effective maintenance plan through long term planning with an emphasis on reducing operating costs
  5. Manage the delivery of all property and community related services for all common area facilities
  6. Assist with preparation of management proposals to prospective owners association
  7. Attend annual general assembly and extraordinary assembly meetings when necessary
  8. Prepare specifications for all services
  9. Provide health & safety specialist advice on all operational matters
  10. Provide technical advice and guidance on all building and property related matters
  11. Prepare life cycle costing and sinking fund assessments
  12. Provide a Computer Aided Facility Management (CAFM) system that supports a 24/7 helpdesk service for all reactive matters and establishing an asset management regime
  13. Provide project management support and control for project activities
